Your workspace holds your team, projects, files and billing (see [Key concepts](/concepts)). Set it up once, then invite the people who will upload, review or build on fileAI.

1

Create your account

Go to [orion.file.ai](https://orion.file.ai/) and click **Sign Up**. If your workspace is on a regional instance, use that site instead (see [Regions](/authentication#regions)).

2

Enter your details

Enter your work email and set a password.

3

Verify your email

Open the verification link fileAI sends you. Once verified, you land in your dashboard.

Sign up with your company email so colleagues can join the same workspace. If your organization uses Microsoft Entra ID, your team can sign in with their work accounts instead. See [Microsoft Entra ID](/account/sso-entra).

](#invite-and-manage-members)

Invite and manage members

1

Open Members

Click your workspace name at the top left, then **Settings** > **Members**.

2

Invite

Click **Invite Members** and enter each person’s email.

3

Assign a project and role

Select the project, then choose a role for the project and workspace: **Admin** or **Participant**.

4

Change access later

Click the three-dot menu next to a member to change their permissions or remove them.

###

[

](#roles)

Roles

Roles control access to schema editing, API usage and billing. Two rules are fixed:

* Only **Admins** can create API keys.
* Changing project settings, such as the default OCR model, needs a project **Admin**.

##

[

](#create-an-api-key)

Create an API key

Workspace admins create API keys in the app. There are two kinds:

* **Project keys** work on one project.
* **Personal keys** work on several projects; each request names its project in the `x-project-id` header.

Either kind works only on the region that issued it. For the steps and how to use a key, see [Key types](/authentication#key-types).
