You need: a work email address. Use the app for your region: orion.file.ai by default, or your regional site from Regions.
1
Create your account
Sign up with your work email and verify it. Once verified, you land in your dashboard. See Sign up.
2
Invite your team (optional)
Invite colleagues from Settings > Members. See Invite and manage members.
3
Create a folder
In Drive, click + next to the Drive tab, name the folder and click Create. Folders keep related files together. See Files and folders.
4
Upload files
Drag and drop files into the folder, or open it and click the upload button. Wait for the processing bar to finish; each file’s status updates as it moves through processing (for example Transform, Processed, Review). See Supported file types for what you can upload.
5
Review and verify the AI Schema
Open a processed file and click AI Schema in the upper right. fileAI has classified the file into a file type and suggested fields. Check each value against the document (with citations, if they are on for your project), then:
- Edit a field, or click the sparkle icon next to it to describe in plain words how it should be captured, then Run and Save.
- Mark fields with thumbs up or thumbs down.
- Open the Verify AI Schema dropdown in the upper right and confirm.
6
Lock your schemas (optional)
To stop fileAI from creating new file types, click File Intelligence in the left panel, open the Extraction Schema tab and turn on Schema Locked. New files are then classified only into the schemas you verified. See Schema locking.
7
Export the data
Select a file, open the AI Schema tab and click Download in the upper right. Choose XLSX, XLS, CSV, JSON or PDF. When the download finishes, the file is saved to your Downloads folder. For bank statements bound for Xero, and to send invoices to Xero directly, see Xero export.
