Notifications send automated email alerts based on file activity and workflow conditions. Instead of watching for files yourself, you set rules once; when a processed file meets a rule’s conditions, fileAI emails the recipients you chose.
Notifications are an app feature. There is no public API to create or manage notification rules yet. To react to processing in your own systems, use processing callbacks.

A file is processed

fileAI extracts the file’s values using its AI Schema.

The file is checked against your rules

Each rule is linked to a verified AI Schema, which defines the conditions it tests and the data fields it can use.

Matching rules send email

When a file meets a rule’s conditions, an email goes to the rule’s recipients.
What you get from a rule:
  • Triggers from real document data. Conditions are evaluated against the values extracted from the file, not its name or folder.
  • Real-time or scheduled delivery. Send an alert as soon as a file matches, or on a schedule.
  • Dynamic recipients. Send to fixed email addresses, or to an address taken from the document itself.
  • Audit visibility. See when a notification was sent and why.

You manage notifications in the Notification section of File Intelligence: go to AI Drive and select File Intelligence from the left navigation menu.
